For those attending in person, OTC 2023 will take place at the Gaylord Opryland Hotel in Nashville, Tennessee. The closest airport to fly into is Nashville International Airport (BNA).

 

Transportation

Autodesk recommends using Uber or Lyft or getting a taxi from the airport.

OTC 2023 will once again take place at the Gaylord Opryland Resort & Convention Center, situated in the heart of Nashville. Explore airy, indoor garden atriums—with a wide selection of award-winning restaurants, the world-class Relâche Spa, and a state-of-the-art fitness center.

International Travel & Visas

Residents of most countries now need a visa to travel to the United States. Confirm current visa requirements with your local U.S. embassy or consulate. Be sure to allow plenty of time for the visa application process.

 

If you require a visa to enter the U.S., the wait time to get an appointment at your consulate could be up to two months. Please check the consulate website.

 

Travelers from Visa Waiver Program countries must have a machine-readable passport to enter the United States without a visa. Machine-readable passports have a barcode.

 

All travelers—even those with machine-readable passports—should be familiar with current visa requirements before traveling to the United States.

 

Do you need a formal letter of invitation from Autodesk, an employment verification letter, or letter for US entry, to obtain your visa? Be sure to answer yes to "need a visa?" when completing your registration via the online form or send a request, as soon as possible, to AutodeskOTCSupport@ITAGroup.com. A representative will provide your formal letter of invitation via email or express mail, depending on your requirements. Please note: OTC registration will not issue visa letters to a guest of attendee.

 

Global Safety & Security (S&S)

Safety & Security Desk: The Global Safety & Security (S&S) desk, located at the event registration, will provide safety and security support, including handing out COVID-19 supplies and answering questions and concerns. S&S hours will be updated closer to the event date, please refer to this site for updated information.

 

Incidents & Injuries: While attending OTC, if you see or experience a safety and security incident or injury, inform the S&S team immediately by emailing OTCSafety@autodesk.com or contacting the S&S desk.

 

COVID-19 & Other Illnesses: COVID-19 and other respiratory viruses are circulating in the United States with higher than usual levels for the wintertime. To protect yourself and those around you, please follow this guidance:

 

  • COVID-19 Vaccination & Testing: Proof of COVID-19 vaccination and testing are not required for in-person attendees. COVID-19 tests will be provided at the S&S desk upon request, subject to limited quantities. If you plan to travel to the United States from China, Hong Kong, or Macau, you will need to get a COVID-19 test no more than two days before your flight.
  • Masks: Masks are not required to be worn for meetings or events, unless required by local law. At this time, Nashville, Tennessee does not require masks to be worn. If you feel more comfortable wearing a mask, please do so. Masks will be provided at the S&S desk upon request, subject to limited quantities available.
  • Symptoms: If you are feeling ill, please do not travel to OTC. Contact OTC Support to handle the necessary changes to your registration. If you experience symptoms consistent with COVID-19 or other communicable illnesses, we ask that you wear a mask. We highly encourage you to request a COVID-19 test at the S&S desk. 
  • COVID-19 Positive Test: COVID-19 Positive Test: Anyone who tests positive for COVID-19 at OTC 2023 must self-isolate in their room and is encouraged to consult this resource. For questions, please email the safety team at OTCSafety@autodesk.com.

 

OTC Safety & Security Team Reminders:

No firearms are allowed at Grand Ole Opry or the Gaylord Resort Hotel. Signage is posted at both locations reminding attendees. As an additional reminder, the Autodesk Code of Business Conduct provides that firearms, other weapons and explosives are not permitted at work, or work related events and activities, even if you are permitted by law to possess or carry them in a concealed manner. If you have any questions on this issue, please reach out to OTCsafety@autodesk.com, and someone from the Global Security Team will respond.

Safety and Security tips while at OTC 2023!

  • Secure your mobile devices, personal items and/or valuables in the hotel room safe when unoccupied.
  • While off-site, please travel in groups and always be mindful of your surroundings.
  • If you are attending an offsite Autodesk event, it is recommended that you only wear your credentials (badge) once inside the restaurant or venue.
  • For immediate security related concerns, please reach out to the onsite Safety and Security Team.
  • During event hours, if you notice any suspicious activity or have any security concerns, please reach out to an onsite hotel security officer to report the incident.
  • During event hours, you may also report your safety or security concerns to the Safety and Security desk located at Event Registration.
  • During non-event hours, report any non-emergencies by emailing the OTCsafety@autodesk.com and someone will reach out to you.

Employee Travel Guidelines

Regular Employees: Register for OTC then proceed in booking your flight via Egencia or the approved travel agency in your country/region.

 
  • Please ensure that you complete your travel profile along with your updated ADSK corporate card prior to booking your flight.
  • Complete your booking for your airfare only. Hotel accommodations and transportation will be handled by the Autodesk Event Team for OTC.
  • There is a strict limit of 50 Autodesk employees on any flight to/from Nashville. No exceptions will be made if that limit has been reached for a particular flight.
  • Direct flights to Nashville (BNA) are limited, so connecting flights may be required.
  • Travelers who are not VP or above: Airfare must be booked in your approved cabin class. Travel booked in Business class will require VP approval. Please include the name of the manager who approved Business Class, if applicable, within the booking path or to the agent team.
  • Select Autodesk OTC Nashville 2023 as the Reason for Trip.
 

Contingent Workers: Attendees will be notified by their VP’s if they are to attend and should not book travel until directed.

 

New Hires and Employees without a Corporate Card: All Full-time Employees must apply for an Autodesk corporate card prior to attending OTC. Once the corporate card is received, proceed with airfare booking through the approved channels outlined above. Travel requests will NOT be actioned for current employees without an ADSK corporate card. ONLY newly hired employees within 21 days prior to OTC will be accommodated via the Travel Request Form.

 

Guest Speakers: For Non-Autodesk Employees and guest speakers for which Autodesk is paying for the airfare, please use the Travel Request Form.

 

Any special accommodation requests must be pre-submitted to the Travel Team prior to booking your trip. Reach out to travel-manager@autodesk.com for any requests and additional questions.
